Checking a Shared Document’s Audience Before Sending It

A link is easy to copy, but the audience behind that link deserves a separate check. A document intended for one collaborator can accidentally be available more widely, or it can be so restricted that the intended reader cannot open it. Sharing works best when access is treated as part of the task.

Match access to the job
Ask whether the recipient needs to read, comment, or edit. These are different permissions in services such as Google Drive. Use the least access that supports the agreed work, and check whether a shared parent folder already grants broader permissions.

Also check the identity receiving access. Similar names, old addresses, and multiple accounts can make the selection ambiguous. Confirm the intended account through an appropriate channel before sharing sensitive material.

Inspect the document itself
Permissions cannot compensate for content you did not mean to share. Review comments, embedded images, hidden sections where applicable, and any personal information in the document. When only a summary is needed, a separate limited document may be more appropriate than access to the full working file.

Do not assume that read-only access guarantees confidentiality. Readers may still be able to retain information in various ways. Platform controls can reduce some actions, but the document should contain only material appropriate for its actual audience.

Complete the handoff
For a simple example, share a draft agenda with named participants as commenters, explain the feedback needed, and state the review date. Later, check whether access should continue. If the document moves into a shared folder, review access again rather than assuming the previous arrangement remains intact.

Before sending the link, confirm the selected audience and role in the sharing panel. If you test using another account, use only an account you control and avoid accidentally granting wider access just to simplify the test. A successful handoff means the right people can do the intended work with the intended information.
